What your promoter sees

The other end of an advance link, start to finish: what opens, what's asked, what happens when they submit, and what they can't reach.

Sending anything to a promoter is a relationship decision before it's a software one — so here is everything they experience, in order. There's no account behind this page: forward it to a promoter who asks what you're sending them.

1. What lands in their inbox

Email advance sends one email, from you, about one show. The subject names the room and the date — Advance: The Fillmore — Fri Mar 6, 2026 — so it survives a crowded inbox. Inside: the venue, date and address, a line asking them to review or correct the details, the advance as it stands, and any files you've attached. Prefer text or WhatsApp? Copy form link is the same link — paste it where the conversation already lives.

2. What opens when they tap it

One web page. No account, no sign-up, no app to install — it opens on a phone in a green room as readily as at a desk. It wears your act's name, logo and colour if you've set them; the only mention of us is one grey line at the bottom. No signup pitch is aimed at them.

3. What they're asked

Only the fields on the show preset you picked — cut the form to six questions and they see six questions. Required ones are starred.

They don't start from blank. Fields arrive pre-filled from what's already known: this show's advance (including their own earlier answers), the booking details you set, and what your team learned about that venue on past shows. A room you've played before opens mostly answered — their job is correcting, not typing. Only your own team's history feeds this; nothing another act put into bandvan is ever visible to them.

If the preset allows it, they can also attach files — site maps, parking instructions, a stage plot.

4. Submitting

One button, then Saved — thank you! No confirmation email to chase, no second step. Anything the preset didn't show them stays exactly as it was — a short form can never blank out details you filled in elsewhere.

5. What you see

The show flips to Submitted by the promoter, so you can tell a confirmed advance from one you typed yourself. Their answers land in the advance, their files in the show's documents, and a note in your team's inbox.

6. They can come back

The link works for 90 days, so the inevitable "actually, load-in moved to 3" uses the same link: they reopen it, see their answers, change what changed, submit again. After 90 days it stops opening — emailing the advance again mints a fresh one.

What the link does not give them

The link is scoped to that one show's advance form. Holding it does not show them:

Guessing another link isn't feasible. Forwarding it works — deliberately, since the person who knows the load-in is often not the person you emailed. If a link ends up somewhere you'd rather it hadn't, Regenerate link on the show issues a new one and stops the old one opening, for that show only; send the new link to whoever should have it.
